Support Staff Guide for Booking Absences
Below is a summary of the possible absence booking codes for the hours you are away and when each code applies. Support staff are governed by our Administrative Procedures; specifically for absences, Administrative Procedure PER #07 (Sick Leave – Non-Certified Staff) and Administrative Procedure PER #22 (Support Staff Leaves). The teacher’s Collective Agreement is referred to below for information.
1. Arrival of Child
– This leave code follows Administrative Procedure PER #22 (Support Staff Leaves) and is aligned with the Collective Agreement for teachers:
For not more than two (2) days, paternity leave shall be granted for the birth of the support staff’s own child to be used within one (1) week from the day of birth or within two (2) days from the date on which the mother or the child is released from hospital.
2. Compassionate
– This leave code follows Administrative Procedure PER #22 (Support Staff Leaves) and is aligned with the Collective Agreement for teachers:
- Up to five (5) school days for the death, and five (5) school days for the critical illness, of a support staff’s spouse, son or daughter, parent, brother, sister, or parent of spouse.
- Up to three (3) days for the death of a grandparent, grandchild, son-in-law or daughter-in-law, aunt, uncle, nephew, niece, if warranted.
- Up to three (3) school days for the death of grandparent of spouse, brother-in-law, sister-in-law, or other relative who is a member of the support staff’s household.
- In the event of the death of relatives listed above, additional leave with pay may be granted for travel at the director’s discretion.
3. Convocation and Grade 12 Graduation Leave
- This leave code follows Administrative Procedure PER #22 (Support Staff Leaves) and is aligned with the Collective Agreement for teachers:
A support staff is entitled to a leave of absence with pay for one (1) day per school year for the support staff’s own convocation, or the convocation or grade 12 graduation, of the support staff’s spouse or child.
4. Family Illness Leave
- This leave code follows Administrative Procedure PER #22 (Support Staff Leaves) and is aligned with the Collective Agreement for teachers:
A support staff may use up to three (3) days of leave per school year, with pay, to care for the support staff’s sick child or other relative living in the support staff’s household, or the support staff’s parent, providing that the other spouse is incapacitated or not available.
5. Leave Without Pay
- This leave code follows Administrative Procedure PER #22 (Support Staff Leaves) and is aligned with the Collective Agreement for teachers. It is used in extenuating circumstances and only after discussions with your direct supervisor.
6. Other
– this leave code is used for extenuating circumstances and only with approval of superintendent or designate. The only exception is for Inclement Weather as per Administrative Procedure GEN #01.
7. Personal Day
This leave code follows Administrative Procedure PER #22 (Support Staff Leaves):
A support staff member shall be granted one (1) day of personal leave with pay per school year, except where circumstances put such leave in conflict with the interests of the school. A support staff member shall submit a request to the principal with two (2) weeks’ notice where possible when they want to utilize a personal leave day. This personal leave day shall not be used to extend a holiday period or a long weekend without the approval of the principal. Support staff will be allowed to carry over one (1) personal leave day and may access no more than two (2) personal days in one given (1) year.
8. Professional Development
– this leave code is used for days such as Division PD with direction for Administration.
9. Sick/Medical Day
– This leave code follows Administrative Procedure PER #07.
Two (2) working days of service per month accumulated to a maximum of sixty (60) working days (60 working days is equal to the waiting period (90 Calendar Days) before an employee can be eligible for the Extended Disability Benefit – EDB). 10. Time in Lieu Taken
– This leave code applies to 12-month employees whose timesheets are not dictated by the school calendar and follows Administrative Procedure PER #06.
11. Vacation
– This leave code applies to 12-month employees whose timesheets are not dictated by the school calendar and follows Administrative Procedure PER #04.
